Job: Receptionist

Job Purpose

Represents the organization by creating an environment of positive service. Cheerfully greeting visitors/volunteers and handling incoming calls with the utmost professionalism and patience. Assisting WAR staff with knowledge and understanding of the activities happening in the WAR building, thus developing an atmosphere of comfort and professionalism.

Duties

  • Welcomes visitors/volunteers by greeting them, answering/referring inquiries, directing persons to correct destination; Monitor visitor access and maintain security awareness
  • Answer telephone, screen and direct calls, take and relay messages
  • Knowledgeable regarding staff movements in and out of organization
  • Monitor and maintain office equipment (i.e., copier/printers, fax machine, etc)
  • Control inventory or ordering relevant to office and reception area (i.e., office supplies, all non-program related printed materials) and cleaning supplies for the building
  • Maintain the reception, entry way and copy room area
  • Maintains telecommunication system by following manufacturer’s instructions for in-house phone and reception console operation; trains new staff on usage.
  • Maintains constituency database
  • Communication hub for all staff
  • Daily monitoring of WAR email accounts
  • Chronicle staff & WAR events throughout the year to create year-end presentation
  • Assist Executive Assistant to the president and other team leaders with various tasks

Skills/Qualifications

  • Cheerful, outgoing personality; understands the importance of customer service
  • Professional telephone, verbal and writing communication skills
  • Proficiency in Microsoft Office, Abila; general experience with technology
  • Strong organizational and typing skills
  • Understands and values the importance of confidentiality
  • Ability to prioritize multiple tasks and work in fast-paced environment
